Office Manager
A highly organized and customer-focused individual is sought to manage the day-to-day activities of our office. This dynamic role involves providing exceptional support to internal teams, ensuring seamless communication, and maintaining a productive work environment.
Key Responsibilities:
* Communication: Receive and direct incoming calls, handle inquiries, and provide timely responses to emails and other correspondence.
* Reception Tasks: Greet visitors, escort them to their destinations, and maintain a professional front desk presence.
* General Office Organization: Coordinate appointments, meetings, and events; manage office supplies, resources, and facilities.
* Correspondence Management: Process, distribute, and create internal memos, notes, and other documents as needed.
* Document Management: Organize, archive, and file digital and physical records in a secure and accessible manner.
* Coordination of Meetings and Events: Plan, organize, and execute meetings, conferences, and other events with attention to detail and excellent time management skills.
* Maintaining Office Technology: Monitor and maintain office equipment, such as printers, photocopiers, and telephone systems.
* Complaint Management: Receive and address customer complaints or inquiries, escalating issues to relevant departments as necessary.
Requirements:
* Vocational training as an Administrative Assistant or equivalent experience.
* 2-5 years of professional experience in a similar role.
* Excellent planning, coordination, and problem-solving skills.
* Proficiency in MS Office and Outlook.
* High customer focus and warm, friendly demeanor.
* Fluency in written and spoken English, with German language skills preferred.
