Overview
For an international organisation in the scientific and medical sector, we are looking for a Junior Medical Affairs Specialist to join a growing team involved in high-impact medical and scientific initiatives. The role focuses on providing administrative and operational support to key projects within the Medical Affairs function of the organisation.
Responsibilities
* Project Support: Coordinate day-to-day project tasks, ensure timely follow-ups and accurate documentation according to internal workflows.
* Time Management: Monitor deadlines and prioritise tasks effectively to support project timelines.
* Event & Meeting Coordination: Assist in the planning and delivery of virtual and in-person meetings, including logistics, scheduling, and minute-taking.
* Task Force Coordination: Organise task force activities and maintain clear, structured documentation and communications.
* Administrative Support: Ensure proper organisation and version control of project files, communications, and reporting materials.
* Communication: Draft and review professional correspondence and meeting summaries in English.
* Internal Collaboration: Work closely with other internal departments to facilitate cross-functional projects.
* Learning & Adaptability: Show openness to feedback, learning new systems, and taking on varied responsibilities.
Requirements
* University degree (ideally in Life Sciences, Biomedical Sciences or related fields)
* 1-2 years of experience in an administrative, scientific, or project coordination role
* Previous experience in a medical/scientific or international organisation is a plus
* Proficient in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams, SharePoint)
* Comfortable with online tools like Zoom, Teams, SurveyMonkey/Qualtrics
* Experience with reference library tools (e.g., EndNote, Zotero) is a plus
* Strong command of English (written and spoken - C1/C2 level)
