The Receptionist
Will serve as the first point of contact for clients, visitors, and colleagues, ensuring a professional and welcoming atmosphere at our UBP office at Bahnhofstrasse 1 in Zurich. Additionally, the Receptionist will support the facility and kitchen teams with daily operational tasks.
Main responsibilities
Client Reception
* Welcome and register clients and visitors with professionalism and discretion
* Manage incoming calls and emails
* Maintain a client‑focused presence
Appointment and meeting coordination
* Manage meeting room/lunches and coordinate schedules
* Prepare meeting rooms (materials, drinks, etc.) to ensure a high‑quality client experience
Material Stock
* Monitor and maintain stock levels of office and kitchen materials
Support the facility and kitchen team
* Collaborate with the facility team on logistical matters; deliveries, building access, etc.
* Support the kitchen team with hospitality services if needed
* Assist with basic security related tasks, such as alarm procedures and fire wardens
Various administrative tasks
* Mail Distribution
* Badge Management
* Switchboard Management
* Maintain and regularly update various lists and documentation
* DHL Management: Manage incoming and outgoing DHL shipments, including tracking and coordination
* Booking of train tickets, ½ Tax Abo, GA (SBB tools)
* Ensure that the reception area and client floors reflect UBP’s high standards of cleanliness, organization, and discretion
Requirements
* Diploma/apprenticeship/education in hospitality, hotel management, or similar
* 3‑7 years of experience in a Receptionist role
* Experience in banking or with reputable firms is a plus
* High level of client orientation and discretion
* Friendly, professional, and neat appearance
* Excellent command of German and English, both spoken and written (C1 degree), additional languages are an advantage
