Responsibilities
1. Executive Support & Coordination: Serve as the trusted point of contact for two global leaders, managing complex calendars, expense reporting and arranging domestic & international travel
2. Operational Excellence: Serve as the “go-to”; operational expert for the team, handling budget management, expense tracking, and ensuring all administrative processes run smoothly
3. Project Management & Ownership: Lead and follow up on key projects, ensuring team goals and deliverables are met on time. You will play a critical role in supporting major initiatives, from global congresses & events to educational training programs
4. Communication & Presentation: Draft and edit internal communications, presentations, and other high-level documents, ensuring all materials are polished and professional
5. Confidentiality: Handle highly sensitive and confidential business and financial information with discretion and professionalism
6. Team Enablement: Drive a positive and productive team environment by coordinating meetings and large-scale events, while also developing and maintaining team resources like the G-Site
Profile
7. Degree in Business Administration, Marketing, or a related field, or a commercial apprenticeship in office administration (KV)
8. Experience as an Executive Assistant or Office Manager
9. Highly skilled with Google Suite applications (Gmail, G-Drive, G- Calendar, etc.) and actively utilize AI tools to automate routine tasks
10. A fast learner with a “can-do” attitude, eager to experiment with new ways of working and thrive in a global network
11. A natural team player who can maintain confidentiality and build strong relationships across the organization
12. A proactive, adaptable, and highly organized professional
13. Fluent C1+ level verbal and written English communication skills
