YOUR RESPONSIBILITIES
The Personal Assistant provides high‑level administrative, organizational, and content‑related support to both the CEO and the CHRO. It requires exceptional flexibility, hands‑on mentality, professionalism, and excellent communication skills in both English and German
Executive Support
Provide professional day‑to‑day support to the CEO and CHRO
Manage complex calendars, travel arrangements, expenses, and coordination of internal and external meetings
Prepare, structure, and follow up on meetings, including agenda development
Independently draft Minutes of Meeting, including at Executive Board level
Content & Communication
Create, refine, and format presentations (PowerPoint), reports, and management documents
Support the preparation of decision papers and contribute to strategic topics where needed
Ensure clear, professional communication across the organization — from warehouse staff to Board members
Draft, edit, and proofread texts in both English and German
Office & Stakeholder Management
Coordinate office operations and ensure smooth daily processes
Act as a key contact person for internal and external stakeholders with a friendly, engaging, and service‑oriented demeanor
Proactively identify needs, anticipate challenges, and think ahead on behalf of the executive
Digital & AI Competence
Strong command of Word, Excel, PowerPoint and confident use of AI tools (e.g., Copilot) to increase efficiency
Ability to research, structure, and transform information into high‑quality, executive‑level outputs
YOUR PROFILE
Several years of experience as Personal Assistant, Executive Assistant, or in a comparable role
Experience in dynamic, international environments is an asset
Excellent MS Office skills (especially PowerPoint, Excel, Word)
High digital affinity and confidence working with modern AI tools
Native speaker of either English or German
Full professional proficiency in both languages (written and spoken) is mandatory
High flexibility, reliability, and discretion
Hands‑on mentality and strong solution orientation
Ability to work precisely, structured, and calmly under pressure
Friendly, professional, and confident presence
Strong interpersonal skills and the ability to interact with all levels of hierarchy
Proactive mindset, ownership, and independence
