Karting Event Administrative Coordinator (Geneva - Switzerland)
Join the FIA and contribute to the successful delivery of world‑class karting championships. As an FIA Karting Event Administrative Coordinator, you will play a central role in ensuring the smooth preparation and execution of FIA Karting events, acting as the key link between administration, organizers, suppliers, and the operational event team.
In this role, you will oversee the administrative coordination of international karting events, ensuring that all regulatory, logistical, and organizational elements are aligned with FIA standards. You will work in a dynamic, fast-paced environment, supporting the operational team and maintaining high levels of accuracy, communication, and stakeholder management.
MISSIONS AND RESPONSIBILITIES:
EVENT ADMINISTRATION, ENTRY MANAGEMENT & PREPARATION
* Prepare sporting regulations, organizer agreements, event documentation, and credentials.
* Validate entries and act as the main administrative contact for drivers, competitors, and ASNs.
* Coordinate event preparation with internal FIA departments (Sporting, Technical, Communication, Commercial).
* Lead preparatory meetings with organizers and key suppliers to ensure full event readiness.
OFFICIALS & SUPPLIER MANAGEMENT
* Serve as the central administrative contact for appointed officials and coordinate their travel with FIA Travel.
* Prepare consultant agreements and maintain communication with officials' groups.
* Coordinate with suppliers and service providers, including follow-ups and tender related activities.
GENERAL ADMINISTRATIVE SUPPORT
* Provide day-to-day administrative support to the FIA Karting department
* Contribute to improving processes, documentation, and operational efficiency.
PROFILE:
* Degree in Sports Management, Management, Business Administration, or equivalent.
* 2-4 years of experience in event coordination or general administration, ideally within motorsport or an international sporting environment.
* Proficient with office and collaboration tools (Excel, Word, PowerPoint, SharePoint, Teams).
* Highly organized, detail oriented, and able to manage multiple tasks simultaneously.
* Clear and professional communicator, comfortable interacting with diverse internal and external stakeholders.
* Fluent English (written and spoken) is essential: additional languages are an advantage.
This position is based at the FIA offices in Geneva and may require international travel to 3 events per year.
