Description
The position CEO Assistant/ Team Assistant includes the following responsibilities:
1. Support of the CEO with agenda planning, keeping track of appointments, send invitations, avoid scheduling conflicts, prioritize important meetings, manage attendance and rescheduling
2. Proactive collaboration with other stakeholders in answering general questions and completing ad hoc requests
3. Optimization of office efficiency, management of visitors (external and internal), managing office supplies and sorting company mail
4. Logistical responsibility and facility management
5. Assistance of team members with various daily tasks, including schedule management, travel support (booking accommodation and all modes of transport, associated cost / expense reconciliation and processing), visa/entry requirements oversight, and compliance request facilitation
6. Helping with event management, through planning and coordinating events and client meetings, as well as supporting marketing activities
7. Social media and press coordination
8. Handling invoicing of expenses: assisting with the preparation and processing of invoices and managing payments or reimbursements;
9. Coordination and organization of recurring board meetings
10. Set up and generation of the quarterly newsletter
We are looking for applicants with the following qualifications / skills:
11. Previous experience in administrative assistant preferably supporting senior stakeholders i.e. Managing Directors / Directors
12. In-depth know-how in the optimization of daily processes, especially event and travel coordination
13. Strong and demonstrated soft skills, especially in regard to corresponding with various stakeholders in the coordination of daily tasks and meetings
14. Strong organisational and planning skills
15. Handling sensitive company information with discretion and security
16. Ability and willingness to work in a fast-paced environment
17. In depth knowledge of MS Office, calendar and travel booking tools, as well as excellent oral and written communication skills in German and English are essential
