About ESMO
The European Society for Medical Oncology (ESMO) is a society for the medical oncology profession, which aims to provide its members with a range of professional services to improve standards of practice in medical oncology by enhancing the knowledge and competence of its members. The society also provides a voice for the profession at a political level.
About the Role
We are looking for a colleague to join our Licensing and Publications Sales (LPS) Department (Head of Department and one Coordinator currently) due to increased activities. This team manages the distribution, licensing, permission sales and sponsorship of ESMO’s intellectual assets, including publications and congress content, to commercial organisations in the healthcare sector.
The contract is full-time for 1-year (renewable).
Key Responsibilities and Tasks
* Support administrative processes related to sponsorships, sales, permissions, licensing, and distribution.
* Draft and edit correspondence, agreements, and manage purchase/sales orders.
* Handle first-level inquiries from external partners and track related activities.
* Assist in developing promotional materials and activity reports.
* Coordinate with internal departments (marketing, finance, education, IT, etc.) and external stakeholders (sponsors, agencies, printers, couriers).
* Assist in coordinating the planning and logistics of specific sessions at ESMO Congresses (colloquia).
* Occasional travel within Europe may be required.
What We’re Looking For
Essential Skills
* Excellent written and spoken English (C-level or native) – other languages are an advantage.
* Strong coordination and communication skills, detail-oriented.
* High attention to detail and ability to manage multiple tasks.
Technical Skills
* Proficiency in Microsoft Office (Word, Excel, PowerPoint), SharePoint, NetSuite, Power BI.
* Comfortable working with sales data, budgets and reporting.
Experience & Education
* Relevant degree or minimum 3 years’ experience in sales, distribution, or a related field.
* Experience in the pharmaceutical, medical, or healthcare sector is a plus.
* Familiarity with ESMO’s publications and audience is an advantage.
