Position Overview
Aurora Swiss Aerospace is an engineering center of expertise, specializing in advanced aircraft. We are searching for a talented and self‑motivated Facilities Coordinator to help us create the future of flight. Responsibilities will include but not be limited to the following:
As a Site Coordinator & Business Process Analyst, this role will be responsible for various tasks in an exciting and dynamic “start‑up” like environment.
Responsibilities
* Support the Managing Director and other business functions with administrative tasks and initiatives. E.g. Engineering operations, Human Resources, IT & Facility.
* Serve as a host and a central resource for visitors including employment candidates, external 3rd parties, and non‑local Aurora employees along with appointment coordination & site security clearance.
* Provide meeting and event coordination, on‑ and off‑site, including reservations and attendee communication, setting up audio and video conferencing, as well as catering and preparation of meeting and program materials.
* Manage post & deliveries; ensure compliance with internal incoming goods procedures.
* Liaise with facility management, vendors, including cleaning, catering, and other services.
* Support empaneling new vendors, contracts or processes as needed.
* Help manage office G&A operation budget, ensure accurate and timely invoicing payment and reporting, including categorization of expenses and entry into SAP for account payable vouchering purposes.
* Provide secretarial support as necessary, including invoicing, filing, copying, collating, and shipping.
* Establish, update, and maintain files, inventories, and records (paper and electronic, and other platforms as needed).
* Maintain orderliness of office suite, order necessary items (office supplies, food, cleaning materials etc.).
* May be asked to proofread German documents and materials and correct as necessary and/or compose routine correspondence using predetermined formats.
* This position might also be involved in and help coordinate engineering projects and initiatives.
Minimum Requirements
* Must be eligible to work in Switzerland with a valid Swiss passport or work permit or should be an EU/EFTA national with a valid passport to enable work permit application.
* Education/experience typically acquired through advanced education (e.g. Bachelor) or an equivalent combination of education and experience (e.g. 4 years' related work experience).
* Very professional handling of MS Office applications (Word, PowerPoint, Excel) and
* Exceptional organizational and communication skills.
* Customer and team‑oriented personality.
* Languages: Fluent in English and German (spoken and written).
* Detail‑oriented, discrete, diplomatic, reliable, and proactive.
* Exercise good judgment and make decision that is appropriate for the organization.
* Results‑driven, take initiative and ownership to accomplish work.
* Ability to demonstrate flexibility and embrace change in a dynamic, rapidly growing environment.
* Strive for continuous improvement and embrace innovative ideas in daily work.
* Ability to maintain confidentiality and operate in the role with the highest of ethical standards and professionalism whilst valuing working in a small, but growing team.
Preferred Requirements
* Program Management training or 4-5 years of relevant On‑job experience.
* Knowledge of SAP, Salesforce or other ERP system.
* Previous experience as an Office Manager or Administrative Assistant would be an asset.
Physical Requirements
* This position will be based at our Aurora Swiss Aerospace office in Luzern, Switzerland.
