As we continue to grow, we are seeking a strategic and hands-on Head of Business Development & Sales to lead and execute our expansion efforts. Role Overview
As Operations Manager, you will support the team with operations where needed. Your job includes a broad range of responsibilities ranging from the organization of marketing activities, invoicing and HR-related tasks to project monitoring and time tracking as well as reporting. You will closely work with the Director for Operations and Project Management and internal and external partners to drive operational excellence at IntiQuan.
Your Impact
As Operations Manager, your key responsibilities include:
Marketing:
* Organize conference participation, including booth setup, material ordering, and travel arrangements.
* Coordinate the development and review of conference contributions (talks, posters) with team members and clients to ensure timely availability.
* Support other marketing efforts as needed.
Invoicing:
* Manage monthly invoicing processes, including data entry, invoice compilation, and client communication.
* Monitor and update proposal and invoicing lists.
* Follow up on late or incomplete payments.
Finance:
* Handle receipt, scanning, and booking of supplier invoices.
* Manage inter-company invoicing and coordinate with accountants.
* Support the monthly financial close process and ensure accurate bookkeeping.
Operations:
* Support project time tracking and opportunity tracking efforts.
* Set up and manage projects in time tracking systems.
* Create monthly reports for management.

* Identify and implement improvements in operational workflows to enhance efficiency and scalability.
* Oversee relationships with external service providers and ensure contract compliance.
* Coordinate internal updates, newsletters, or team meetings to ensure alignment.
* Support adoption and training of internal tools (e.g. time tracking, finance software, HR platforms).
* Develop dashboards or reports to support decision-making across departments.
HR-related:
* Coordinate expense reporting.
* Support recruiting efforts, including job ad posting, candidate coordination, and interview scheduling.
* Assist with onboarding new employees and managing the bi-annual review process.
* Maintain candidate and employee records where needed.
What You Bring
* Education as Business Administrator (in Switzerland: Kaufmännische Lehre / Kaufmännische Grundbildung), including basic finance, process, and business knowledge.
* At least 2 years of experience in an industry job, preferably in a similar role.
* Familiarity with invoicing and financial processes.
* Ability to thrive in a fast-paced, dynamic environment with shifting priorities.
* Strong organizational skills and attention to detail.

* Proficiency in German and English (both written and spoken).
* Ability to manage multiple tasks and work flexibly, in a young dynamic team as well as independently.
