We are a fast-growing tourism and hospitality company serving international clients traveling across Europe. We are looking for a highly organized and proactive Office & Executive Assistant to support the Managing Director and ensure smooth office operations. Basic bookkeeping knowledge is required to assist with simple financial tasks, but this role is primarily administrative and executive support focused.
Key Responsibilities
* Provide direct administrative support to the Managing Director
* Manage calendars, scheduling, and travel arrangements
* Prepare meeting agendas, take minutes, and follow up on action items
* Handle confidential information with discretion
* Coordinate communication between departments and external partners
* Assist with business presentations, reports, and document preparation
* Organize and maintain office systems, files, and supplies
* Welcome guests and handle incoming communications
* Coordinate with vendors, suppliers, and service providers
* Assist with HR administrative tasks (contracts, onboarding, record keeping)
* Support event planning and logistics when needed
* Help collect and organize invoices, receipts, and payments
* Assist with simple data entry for accounting records
* Support monthly expense tracking and administrative finance tasks
Requirements
* Experience as an office assistant or executive assistant
* Strong communication and interpersonal skills
* Excellent organizational and time-management abilities
* Professional, reliable, and solution-oriented mindset
* Good command of MS Office/Google Workspace
* Basic bookkeeping / financial admin exposure (Excel, invoicing, expense tracking)
* Ability to manage multiple priorities and work independently
* Discretion and professionalism when handling sensitive information
Preferred Qualifications
* Experience supporting a company director/CEO
* Experience in tourism, hospitality, or service industry
* Multilingual abilities (English required; other languages a plus)
