We are currently looking for an HR and Administrative Operations Specialist on behalf of a prestigious broker in Geneva.
About the Role
Onboarding and Integration:
* Draft and manage employment contracts, and coordinate their signature.
* Register employees with social security and pension schemes (FER CIAM, AVS, LPP AXA, Pens Unit).
* Manage work and residence permits (B and G/frontier permits) in coordination with the OCPM.
* Coordinate IT setup, email accounts, software access, and phone lines (Peoplefone, Salt, Swisscom).
* Prepare internal communications related to onboarding and payroll.
Offboarding and Contract Termination:
* Prepare exit documentation, including official letters and employment certificates.
* Handle formal notifications to relevant authorities.
* Organise the return of company equipment and final settlement of payroll.
* Cancel telecom and service subscriptions as needed.
Payroll and Compliance:
* Oversee monthly payroll processing and bonus payments.
* Coordinate with social security institutions and accounting partners.
* Manage declarations and requests related to maternity leave, sick leave, accidents, and family allowances.
HR Administrative Follow-Up:
* Maintain and update employee records (contact details, permits, marital status).
* Track absences, leave, and expense reimbursements.
* Organise business travel (transport, accommodation, logistics).
* Process HR-related invoices (insurance, tax, pension).
Office Operations Support
* Manage relationships with external providers (cleaning services, landlord, IT suppliers).
* Order and manage office supplies, furniture, and consumables.
* Oversee mail handling, deliveries, and meeting room logistics.
Your Profile
* Proven experience of at least 3 years in a similar position in Switzerland.
* Proficient in office tools and HR systems.
* Strong organizational, communication, and multitasking skills.
* Fluent in French and English (Spanish is a plus).
* Solid understanding of Swiss labor law and administrative requirements.
