Role Overview
We are seeking a highly organized, discrete, and proactive Executive Assistant (Part-Time, 40-60%)to provide comprehensive administrative support to our senior management team. In this role, you will work closely with executives to manage their schedules, coordinate meetings, handle correspondence, and ensure that administrative and organizational matters are efficiently managed.
You will act as a key point of contact for internal and external stakeholders, ensuring that communication flows seamlessly and that priorities are met in a timely manner. The ideal candidate is an experienced, dependable, detail-oriented professional who thrives in a dynamic environment and can anticipate needs before they arise.
Key Responsibilities
 * Provide administrative support to members of the senior management team.
 * Manage calendars, schedule and coordinate meetings, and organize appointments.
 * Handle correspondence, prepare documents, and manage communication flows on behalf of executives.
 * Arrange and coordinate travel plans, itineraries, and expense reporting.
 * Support with payment of invoices, reimbursements, and other administrative or financial tasks as required.
 * Prepare meeting materials, and ensure follow-up on action items.
 * Liaise with internal departments and external partners to ensure smooth coordination of executive activities.
 * Maintain confidentiality and handle sensitive information with the highest degree of professionalism.
Requirements
 * 5+ years' experience as an Executive Assistant, Personal Assistant, or in a comparable administrative role, preferably in the financial/trading sector.
 * Excellent organizational and multitasking skills with strong attention to detail.
 * High level of integrity, discretion, and professionalism.
 * Strong communication skills (both written and verbal) in English.
 * Proficiency in MS Office and common collaboration tools (e.g. Excel, Word, Outlook).
 * A proactive, hands-on attitude and the ability to anticipate needs and take initiative.
Preferred / Desirable Experience
 * Fluency in German is a strong plus; additional languages are an advantage.
 * Flexibility to adapt to changing priorities and schedules.
