Employé de commerce - middle office officer

Beschreibung

The position reports to the relevant Team Leader of the Middle Office Team. This role involves close and regular interaction with all members of the Family Office team, as well as with Accounting, Banking, and Investment teams, and external contacts such as banks, administrators, and clients.

PRINCIPAL ELEMENTS AND ACCOUNTABILITIES :

1. Collect, update, and maintain client static data in our in-house integrated system for various services and business units of the group.
2. Coordinate data cleansing exercises for the above business units.
3. Work on various projects as needed by the Group, including drafting simple minutes or resolutions.
4. Communicate with external parties, such as banks and registered agents.
5. Collaborate with the Business Development department to ensure contacts are created and maintained.
6. Assist in onboarding new businesses by organizing weekly agendas, maintaining the Reject Business register, and supporting the pipeline.
7. Work with the Head of Privacy Officer to ensure data privacy procedures are in place, conduct annual cleaning exercises, and keep the Privacy Register updated.
8. Collaborate with IT to set up group reports and ensure proper dissemination.
9. Participate in testing workflows and processes related to onboarding, reporting, or regulatory obligations.
10. Assist business units with ad hoc reports.
11. Support Risk & Compliance with remediation or process improvements.
12. Manage Will or Testamentary registers and originals in collaboration with the Law department.
13. Handle tasks from sub-departments linked to the same Head of Department.

QUALIFICATIONS AND SKILLS :

1. At least 2-3 years of experience in an administrative role.
2. Experience with fiduciary services providers is advantageous.
3. Proficiency in Microsoft Office (Word and Excel).
4. Proactive with minimal guidance required.
5. Meticulous attention to detail.
6. Strong organizational skills and focus on tasks.
7. Ability to maintain confidentiality regarding client matters.
