We are seeking a highly motivated Document Manager Assistant with a background or interest in the construction industry to join our team in Geneva, Switzerland. The successful candidate will play a vital role in maintaining reliable access to project documentation and supporting the smooth operation of document workflows. This includes liaising with a wide range of project stakeholders and helping to implement processes that ensure timely document reviews and feedback. Strong skills in Microsoft Office tools and familiarity with Electronic Document Management Systems (EDMS) are essential for success in this role.

Responsibilities
* Support the Head of Project Document Management in managing project documentation for the construction programme.
* Ensure that documents are properly stored, tracked, reviewed, and disseminated across all relevant stakeholders.
* Contribute to the timely delivery of documentation, the smooth functioning of document control processes, and the avoidance of delays due to document handling issues.
* Support the Head of Project Document Management in ensuring that all project related documentation is captured centrally, systematically, and in a timely manner.
* Monitor deadlines and review periods for document submissions and reviews, flag upcoming deadlines, and follow up with relevant stakeholders.
* Assist in generating weekly team priority lists under the supervision of the Head of Programme Document Management .
* Support the creation of document control reports and dashboards for internal use.
* Provide support during audits or reviews requiring documentation.
* Perform document related quality checks to ensure consistency and compliance with project standards.
* Support the Head of Project Document Management in liaising with the Project Managers and other stakeholders as needed.
Qualifications
* First-level university degree or Vocational Education and Training (VET) degree in Architecture, Information Management, Office Administration Assistance or other relevant disciplines.
* Experience in managing and administrating PMIS (Project Management Information Systems) and EDMS (Electronic Data Management Systems), such as PMWeb and SharePoint.
* Knowledge of construction projects preferred.
* Good communication.
* Fluency in English, both written and spoken, is required. French and/or Italian is a plus.
