Job Description
Executive Assistant Duties (Primary Focus)
* Provide Executive Assistant support to multiple senior team members
* Manage complex diaries and coordinate meetings across various time zones
* Handle travel arrangements and logistical planning
* Serve as a point of contact for internal teams and external stakeholders
* Prioritise incoming requests and coordinate meeting logistics
* Manage confidential information with the highest degree of professionalism
Office & Team Support
* Support the Office Manager with daily office operations
* Assist with general office administration and coordination
* Provide cover during holidays or absences when needed
* Contribute to maintaining a well‑organised and efficient office environment
Events & Projects
* Assist in the planning and execution of the organisation's annual Forum (3‑4‑month preparation period)
* Contribute to ad‑hoc administrative tasks and projects as required
The Successful Applicant
* 3 years minimum of experience as an Executive Assistant, Team Assistant, or Office Coordinator
* Native or fluent proficiency in English or French (ideally both)
* Excellent organisational skills with the ability to manage multiple priorities
* Strong attention to detail and reliability
* High level of discretion, professionalism, and adaptability
* Comfortable working in a fast‑paced environment
* Strong proficiency in Microsoft Word, Excel and PowerPoint
* Ideally, a good working knowledge of Google Workspace (G Suite)
