In this role you will provide support for all FM functions in the areas of Reception Services, Office security & HSE and General services/administration.
end date: Jan 2027 (with the chance of extension)
workload: 60%, (Tue, Wed, Fri - with flexible workdays prefered)
Your Tasks:
Reception Services
* To carry out normal Reception duties such as dealing with visitors and staff (issuing badges, maintaining visitors list, preparing materials for new staff, etc)
* organize the company’s incoming/outgoing mail (post and courier)
* organize the company’s parking facilities; ordering taxis
* distribute documents and publications as necessary.
* organize starters/leavers with the WAVE ware System; to assist with the organization of office workplaces e.g. update door signs, and update the telephone lists etc.
* carry out routine clerical tasks as assigned (operate a variety of standard office machines); to carry out word processing, filing, mailings etc as required;
* assist seminar preparations; to organize catering facilities, prepare Meeting rooms according to customer needs (organize tables and chairs, open connecting walls)
Office security and HSE
* assist with the BCC Security & Safety Concept, participate in any relevant training and perform the assigned tasks in an emergency or training exercise.
General services and administration
* ensure stocks are replenished in good time (e.g. stationery, office supplies, etc) and assist with the procurement, storage and distribution of such items
* report any complaints/repairs/requests to FM Support and follow-up on any incidents.
* attend the reception Team Meeting weekly (Basel/Zürich team)
Your Profile:
* must be a team player
* excellent communication and organizational skills
* able to work accurately, quickly and neatly
* able to work without supervision
* good presentation, outgoing personality and a pleasant manner
* be able to help visitors and staff in a friendly, effective and efficient manner
* punctuality and adherence to relevant health & safety procedures essential
* be flexible concerning working hours in order to meet the demands of the position
* hotel or customer service training is a strong plus
* English and German language skills are mandatory, every other language is a plus
