About the Role
As a member of the HR team, the Coordinator II supports candidates, new and current employees, and various HR teams, including HR Operations, Talent Acquisitions, and Talent Management, with day‑to‑day activities related to guidelines, workflows, and approvals. This position will respond to employee and third‑party employment inquiries and gather data for and support various HR projects.
Responsibilities
* Screen resumes and applications.
* Prepare termination packets.
* Maintain records for EEO and affirmative action reporting.
* Write position descriptions.
* Order benefit brochures and employee handbooks and other functional items.
* Participate in and/or conduct research and analyze data for assigned projects.
* Assist in the overall execution of compensation objectives, manpower goals, performance management, and general HR policies and procedures.
* Effectively collaborate with the Office Manager and other work colleagues to provide administrative support to European offices as needed.
* Coordinate interview scheduling, travel, and expense management for candidates.
* Coordinate the relocation of new employees, including expense tracking, triage of issues/questions, and supporting communication with the vendor.
* Coordinate insurance carrier billing and reconciliation.
* Administer day‑to‑day activities related to company‑wide recognition programs.
* Support the administration of the Company’s Safe Driver program, including coordinating annual MVR checks and follow‑up for certain employees.
* Conduct background checks and screens, drafting of offer letters.
* Support affirmative actions initiatives.
* Coordinate new hire orientation and onboarding program.
* Assist the HR Compliance Administrator with tracking of programs in the Learning Management System (LMS), such as harassment training and new hire training administration.
* Coordinate the accumulation and administration of compliance posters per federal, state, or local guidelines, and posting in LMS or the Company’s intranet.
* Respond to DOL, state, and other government surveys and data requests.
* Ensure company policies are followed in the application process within the ATS.
* Coordinate federal, state, and insurance carrier worker’s compensation reporting.
* Create, maintain, update, store and secure employee records, including converting records to e‑copies.
* Assist in organizing and maintaining data/file storage on HR’s shared drive.
* For non‑automated processes, update HCM database records and process paperwork related to new hires, terminations, and other status changes as needed.
* Support administration of contingent workforce, including tracking, processing filing, and status determination of contingent workers.
* Gather, monitor, and validate HCM data, including troubleshooting and running reports.
* Act as an employee point of contact for questions/solutions, including employee benefits/insurance, answer Open Enrollment/system questions, processing life event changes/leaves of absence, and ad‑hoc projects as assigned.
* Coordinate employee events and activities.
* Assist with administrative tasks as needed.
* Prove administrative support to the European offices as needed.
* Other duties as assigned.
Requirements
* High School Diploma / Associate’s degree in Human Resources or related field AND 2+ years of Human Resources or related experience OR BA/BS in Human Resources or related field AND some related experience.
* Uses established skills to perform a range of routine to moderately complex daily operations.
* Applies understanding of company policies and procedures to complete assigned tasks.
* Understands how own area contributes to the achievement of objectives.
* Ability to efficiently assist with projects within appropriate deadlines.
* Exceptional ability to work under tight timelines, to deal with ambiguity, and to effectively complete multiple tasks concurrently.
* Strong organizational, accuracy, detail‑oriented, analytical and interpersonal skills.
* Excellent written and oral communication skills, especially via email, in‑person and on the phone.
* Ability to build proficient working relationships across multiple functions and with company leaders.
* Proficient with computer applications, including MS Outlook, Excel, Word, and PowerPoint.
* Basic knowledge of employee database systems is preferred (Workday).
