Job Description
- Provide efficient administrative and organizational support
- Act as a bilingual (French/English) coordination point, managing communication
Administrative & Executive Support
- Manage and coordinate the Director's complex calendar, including scheduling meetings across multiple time zones
- Organize internal and external meetings, including agendas, logistics, and follow-ups
- Handle correspondence (emails, calls, documents) in French and English
- Prepare presentations, reports, and briefing materials
Coordination & Communication
- Act as a key point of contact between the Director and internal teams, clients, and partners
- Facilitate communication and ensure timely information flow
- Draft, review, and format documents and communications in both languages
Operational Support
- Support planning and coordination of departmental activities and projects
- Track deadlines, action items, and key deliverables
- Assist with budget tracking, expense reports, and administrative processes
Event & Travel Management
- Organize business travel, including itineraries, accommodation, and logistics
- Support the planning and execution of meetings, workshops, or events
The Successful Applicant
- Proven experience as an Executive Assistant or similar role, supporting senior leadership
- Excellent organizational and time-management skills, with the ability to multitask
- Strong communication skills in French and English (written and spoken)
- High level of discretion, professionalism, and attention to detail
- Proficiency in MS Office (Outlook, Word, PowerPoint, Excel) and collaboration tools
- Ability to work independently and anticipate needs in a fast-paced environment
