Key Responsibilities

The role of a Senior Executive Assistant involves providing administrative support to senior stakeholders, including agenda planning, appointment tracking, and scheduling.

You will collaborate with stakeholders for general inquiries and ad hoc requests, enhancing office efficiency by managing visitors, supplies, and mail. Additionally, you will handle logistical and facility management responsibilities, as well as assist team members with scheduling, travel arrangements, and compliance requests.

Other key tasks include coordinating and supporting event planning, client meetings, and marketing activities, as well as managing social media and press coordination. You will also assist with invoicing, expense processing, and reimbursements, and organize recurring board meetings and prepare quarterly newsletters.

Qualifications and Skills

To be successful in this role, you will require experience supporting senior stakeholders, expertise in optimizing daily processes, and strong soft skills for stakeholder communication and task coordination.

You should possess excellent organizational and planning skills, discretion in handling sensitive information, and the ability to work in a fast-paced environment. Proficiency in MS Office, calendar, and travel tools is also essential, along with fluency in German and English.
