What you will do
TASKS AND RESPONSIBILITIES
Facility Operations & Services
1. Building Services Management: oversee daily maintenance (electrical, plumbing, cleaning, gardening, elevators) through a mix of in-house teams and approved vendors.
2. Reception & Switchboard: define standards and processes for visitor registration and OHS induction, access badges, signage, and phone routing. Ensure consistent training, positive lobby experiences and service quality.
3. Office Supplies, Mail & Courier Services: manage centralized procurement and distribution of office consumables, stationery, mailroom operations.
4. Fleet Management: oversee the company’s fleet, ensuring efficient acquisition, maintenance, and disposal in line with operational needs and compliance requirements. Manage overall performance, costs, and policies while aligning with industry best practices.
5. Take accountability for facilities compliance with all relevant regulations, codes, and standards to maintain a safe workplace and to prevent unplanned interruptions to facilities operations.
6. Responsible for the availability and up-keep of all technical related document, drawings and permits and to ensure local compliance.
Procurement & Supplier Management
7. Lead RFP/RFQ processes, evaluate bids, negotiate contracts, and manage SLAs with key suppliers (e.g. cleaning, landscaping, security).
Physical Security & Compliance
8. Partner with Security and Legal to implement access control, CCTV, alarm systems, and visitor management in line with local regulations and corporate procedures.
9. Conduct periodic risk assessments, site audits, and emergency drills (fire, evacuation, lockdown) to ensure readiness.
10. Participate in the implementation and maintenance of business continuity plans and emergency response plans.
11. Maintain documentation (incident logs, compliance certificates).
Occupancy & Space Management
12. Lead space planning, and workplace allocation to optimize density, employee experience.
13. Manage meeting room and layout changes to support hybrid work models.
We believe you have
14. Bachelor’s degree in Facilities Management, Engineering, Business Administration or related field; Master’s preferred.
15. Certified Facility Manager (CFM), Health & Safety certification and/or Sustainability credential are a strong plus.
16. 8+ years’ progressive experience in corporate facility management, or managerial role.
17. Demonstrated success leading teams and managing budgets.
18. Proven track record in project management with strong commercial acumen.
19. Exceptional negotiation and vendor-management capabilities.
20. Excellent communication skills in French and English.
