The Human Resources Leave of Absence Specialist is responsible for administering and supporting the organization's leave of absence processes. This role serves as an expert on benefits and leave policies, partners closely with employees, HR, and payroll teams, and ensures compliance with federal and state regulations. Strong attention to detail, excellent customer service, and the ability to manage confidential information are essential to succeeding in this role. This position will also assist with special projects as needed.
Duties/Responsibilities
Administer and manage all employee leaves of absence, including FMLA, ADA, state-specific leaves, military leaves, and company-sponsored leaves.
Serve as the primary point of contact for employee questions regarding leave, eligibility, and plan processes
Responsible for assisting employees with FMLA/LOA in accordance with applicable law and Company policy, by providing required information to employees and obtaining proper documentation within required time frames
Conduct eligibility reviews, provide required notices, track time, and maintain compliant documentation throughout the leave cycle and keep HR Director abreast of leave status
Maintain compliance with federal, state, and local leave laws, including multi-state regulations for a remote workforce
Coordinate return-to-work processes with employees, managers, and HR leadership
Partner with payroll to ensure accurate pay, PTO usage, and benefits contributions during leaves
Maintain strict confidentiality and compliance with HIPAA when handling sensitive medical information
Maintains accurate and up-to-date human resources files, records, and documentation for related areas of responsibility
Deliver empathetic, professional employee support while maintaining confidentiality and consistency
Represent the Company in a positive manner through professional conduct, attitude, and appearance
Understand and comply with company policies and procedures
Follow Company Confidentiality and Security policies and procedures
Perform other duties as assigned
Required Skills/Knowledge
Knowledgeable in human resources best practices, procedures and principles
General knowledge of various employment laws and regulations
Excellent verbal and written communication skills, organization skills, and attention to detail
Confidence and presence to effectively handle interpersonal relationships and manage sensitive and confidential HR situations
Proficient with Microsoft Office Suite
Proficient with or ability to quickly learn HRIS
Education/Experience
Associates Degree or equivalent from two year college or technical school in related field; or SHRM Certification preferred
At least three years HR related experience required
