We are looking for an
Assistant Facilities Manager (m/f/d)
for our Integrated Facilities Management business line.
Role Purpose
An exciting opportunity has arisen for an Assistant Facilities Manager. The Assistant Facilities Manager will assist the Senior Facilities Manager in leading a team or vendor group to manage the tactical delivery for the assigned property/facility, and be the on-site point of contact for the key stakeholders &/or client in the absence of the Facilities Manager. The responsibilities will include site budgets, accounting and finance, maintenance and operations, contract services, purchasing of material, equipment & supplies, occupancy services and helpdesk.

People Management
1. Help manage and coach team & vendors
2. Assist in developing and sustain a high-quality well motivated team
3. Ensure high staff morale, trust and work ethics
4. Actively support an environment that supports teamwork, co-operation and performance excellence within the team
5. Assist in mentoring and enabling Training & Development of team members
Client/Stakeholder Management
6. Deliver excellent customer service to meet on-site client’s expectations
7. Build and develop effective relationships with key stakeholders &/or client and be comfortable working across all levels
8. Monitor procedures to ensure client’s expectations are conveyed and worked upon
Procurement & Vendor Management
9. Support vendors including hard and soft skills to deliver services on time and within budget
10. Support vendor procurement processes in accordance with agreed client procurement guidelines as well as Jones Lang LaSalle procurement best practices
Contracts Management
11. Ensure that all contracts are professionally delivered at the right cost and in line with the Jones Lang LaSalle Code of Ethics
12. Support in monitoring expiry of contracts and initiate re-procurement if needed
13. Continually assess contracts to ensure best value delivered to the client
Finance Management / Cost Control / Profitability
14. Assist in ensuring that the site’s financial operations are meeting targets and control requirements
15. Assist and monitor financial processes to ensure account payable procedures are followed at all times
Health & Safety Management
16. Implement and manage safety procedures to ensure the provision of a safe working environment
17. Ensure compliance with statutory regulations on fire, health and safety standards
Site Operations Management
18. Implement Industry Best Practice operations
19. Assist and monitor to ensure all building procedures and performance measures are maintained at all times
20. Ensure all Critical Environment (CEM) requirements are met
21. Seek ways to reduce costs and improve operational standards
Risk Management
22. Assist in the implementation and management of a property risk management program
23. Support the implementation and monitoring of disaster recovering and business continuity plans
24. Follow established escalation procedures and incident reporting procedures
25. Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies

26. Experienced in facilities, property management, hospitality or related field
27. Able to demonstrate knowledge of local health and occupational safety requirements
28. Experienced in dealing with critical facilities and vendor management for specialized services
29. Able to demonstrate proven capacity to understand and interpret commercial contracts
30. Highly experienced in budget management and financial analysis
31. Able to demonstrate superior people management skills
32. Strong communicator
