Job Title: Property Operations Manager
Key Responsibilities
* Implement a comprehensive facilities management strategy to ensure the smooth operation of boutiques.
* Manage project tasks, data collection, communication with stakeholders, tender process, contract definition, and rollout supervision to guarantee successful project implementation.
* Conduct monthly reviews and reporting: deliver key performance indicators (KPIs) to management and stakeholders as needed.
* Manage contracts with service providers and ensure alignment with company standards.
* Integrate Service Now with IFM provider.
* Create synergy with internal teams.
Boutiques Operation
* In parallel with IFM projects, provide support to stakeholders for maintenance and other services in boutiques.
* Assist with renovation projects to ensure seamless site operations.
* Liaise with external partners on boutiques operation and related matters.
Service Now Implementation
* Streamline service requests, planned maintenance schedules, and contract management using Service Now.
* Coordinate communication and change management with stakeholders.
* Monitor data to track performance and identify areas for improvement.
* Share relevant data with project teams and stakeholders.
Contract and Cost Management
* Sourcing, negotiating, and managing vendors for services such as cleaning and maintenance.
* Managing contracts with suppliers for hard and soft services.
* SLA monitoring.
* Tender process and due diligence.
* Budget preparation and cost control.
Project Management (25% of Time)
* Managing ad-hoc projects assigned by the CFO, including team-building activities and negotiations with suppliers and consultants.
* Providing regular updates to the CFO on project progress.
* Facilitating seamless project transitions to go-live and operations through effective team collaboration.
* Management of one person.
Profile
1. Minimum 5 years of experience in facility management and project management.
2. Strongly preferred experience in the luxury retail industry.
3. Engineering degree in a relevant field or Certified Facility Management.
4. Experience in project management, financial tracking, budgeting, and contract management.
5. Curiosity, pragmatism, and innovation.
6. Strong negotiation skills.
7. Positive and service-oriented attitude.
8. Able to communicate efficiently in a matrix structure.
9. Proactive, flexible, and adaptable.
10. Collaboration with key internal stakeholders.
11. Fluency in French and English, German strongly appreciated.
