Position Summary

The Office assistant is responsible for supporting the efficient operation of the back office. This role includes the management of administrative tasks, logistic handling, record keeping, and assisting in various day-to-day office activities. The Office Manager will work closely with the Country Manager and other team members to ensure smooth operations and maintain a well-organized work environment.

Essential Functions


* Receiving and Documentation:
o Assist in receiving incoming shipments and ensuring proper documentation.
o Verify the accuracy of documents against orders and file them accordingly.
o Organize and maintain files, records, and correspondence related to the back office operations.

* Inventory Management:
o Assist in maintaining up-to-date records of inventory and stock levels.
o Perform data entry for inventory adjustments and assist in regular audits.
o Support the replenishment process by coordinating with the sales and EDC team.
* Order Processing:
o Process customer orders and ensure accurate data entry into the system.
o Prepare shipping documents and labels, and update shipping information.
o Liaise with couriers and logistics partners to ensure timely delivery (UPS and Swiss Post innight)

* Office Maintenance:
o Maintain a clean and organized back office space.
o Follow safety and organizational protocols to ensure a safe work environment.
o Report any issues related to office equipment or supplies and assist in resolving them.
* Other Duties:
* Assist in organizing and scheduling deliveries and pickups.
* Provide support to team members with various tasks during busy periods.
* Perform other administrative duties as assigned by the Manager.
* Adheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies. Ensures Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role
* Represents the company in a professional manner and uphold the highest standards of ethical business practices and socially responsible conduct in all interactions with other employees, customers, suppliers, and other third parties

Qualifications

* Previous experience in a back office, administrative, or logistics environment
* Strong organizational skills
* Ability to work well in a team environment and manage multiple tasks
* Ability to work in a dynamic, fast-paced office setting
* Excellent verbal and written communication skills
* Attention to detail
* Self-starter
* Advanced critical thinking and problems-solving skills
* Proficiency in using Microsoft Office products

Physical Demands

The physical demands listed here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

* Required to sit; climb or balance; and stoop, kneel, crouch or crawl
* Required to regularly lift and/or move up to 4,5 kg, and occasionally lift and/or move up to 12 kg
* Required to possess specific visons abilities, including: close vision, distance vision, color vision, peripheral vision, depth perception and capacity to adjust focus
