The Job
The Sales Contract Specialist will ensure that sold equipment is delivered on time for rigging and installation, revenue and costs are booked, and invoices are created.
Responsibilities
1. Review received purchase orders and contracts based on internal guidelines.
2. Enter sales order information into our SAP system.
3. Prepare and send correspondence and invoices to customers.
4. Coordinate backlog activities (purchase orders, delivery schedules, etc.) according to contractual terms and collaborate with internal teams to ensure efficient delivery of VMS / SHS equipment within agreed timelines.
5. Collaborate with Project Management, Sales, Finance, and other departments.
6. Organize and initiate the transportation of equipment.
7. Ensure full compliance of sales orders with VMS / SHS procedures and facilitate HQ approval processes.
8. Monitor projects related to delivery and payment status.
9. Guarantee adherence to import and export control procedures according to Swiss and international regulations.
10. Control and approve invoices from external suppliers and subcontractors.
Qualifications, Skills, Experience & Attributes
1. Minimum 2-5 years of experience in sales support, order processing for import/export, administration, or similar roles.
2. Understanding of international shipping and transportation regulations.
3. Strong planning and organizational skills.
4. Experience in project coordination from order receipt to delivery and acceptance.
5. Customer-focused experience.
6. Fluent in German and English, both written and spoken; additional languages are a plus.
7. Team player, open-minded, proactive, and able to work independently.
Desirable Skills
1. Knowledge of MS Office and SAP.
2. Good prioritization skills.
3. Flexible approach to work.
4. Experience with lean management is a plus.
