Operations coordinator/manager 100%

- Coordinate and manage complex calendars across time zones, including scheduling meetings and appointments

- Draft, proofread, and manage internal and external communications

- Prepare and format documents, reports, and presentations to meet internal standards

- Organise international travel arrangements and prepare detailed itineraries

- Reconcile credit card statements, process reimbursements, and manage travel and financial documentation

- Provide back-up support for other senior assistants within the unit

- Maintain and structure both electronic and physical filing systems, ensuring easy retrieval and confidentiality

- Assist in strategic project coordination, including scheduling, documentation, and tracking deliverables

- Prepare agendas and meeting minutes and follow up on action items

- Support sprint meetings and contribute to ideation and prioritisation processes

- Help organise internal and external events and liaise with stakeholders for logistics and documentation

- Maintain stakeholder contact databases and assist with communication follow-ups

- Proactively identify and implement improvements in administrative and organisational processes

International and fast paced company within the financial industryTemporary contract for 12 months with possibility of extension

- Proven experience in a broad administrative or operational support function

- Experience working in a start-up or highly dynamic and evolving environment

- Comfortable engaging with stakeholders across different backgrounds and seniority levels

- Fluent English is required

- Strong proficiency in Microsoft Office 365 and Outlook

- Highly organised, detail-oriented, and able to multitask efficiently

- Strong interpersonal skills, collaborative mindset, and ability to work in a flat and multicultural team structure

- Acts with discretion, tact, and initiative
