About the Company

Luxtelligence SA
is a fast-growing Swiss deep-tech startup spun out of
EPFL
in 2022. We're building next-generation photonic integrated circuits using breakthrough electro-optical materials—especially thin-film Lithium Niobate and Lithium Tantalate—to power the future of AI data centers, high-performance computing, 5G/6G, microwave photonics, and quantum technologies.

With our own offices and labs and a tight-knit team of 12, we're entering a key growth phase. We're now looking for a
Business Operations Coordinator
to help us scale smartly and sustainably.

About the Role

This is a
hands-on, high-ownership role
at the core of the company. You'll start by supporting essential operations across
finance, HR, marketing and sales
, working closely with engineers, researchers, and leadership. As Luxtelligence grows, your role will expand with it—offering increasing scope, broader responsibilities, and the opportunity to progress into a more senior position over time within your chosen business function.

What You'll Do

1. Operations & Internal Processes

* Design, implement, and continuously improve internal processes.
* Provide project management and coordination support.
* Maintain clear documentation (policies, internal guidelines, workflows).
* Project manage the full grant lifecycle

2. Finance & Administration Support

* Manage purchase orders, invoices, and expense processes in collaboration with our external accountants
* Help prepare documentation for grants, public funding, or investor reporting.
* Monitor grant deadlines and budgets and ensure compliance with grantor terms and conditions.

3. HR & People Operations

* Handle HR administration activities (contracts, onboarding, offboarding) and ensure adherence to Swiss HR regulations.
* Maintain employee records and HR documentation.
* Coordinate recruitment logistics and onboarding experience.

4. Marketing Operations

* Support the organisation and logistics of events, conferences, and trade shows
* Coordinate with technical and leadership teams to prepare presentations, demos, and booth content
* Manage social media and website

Your Profile:

* University degree in Business Administration, Finance, Human Resources, or a related field, with a strong interest in innovation, emerging technologies, or entrepreneurship.
* 3+ years of experience in business operations, grants management, finance or HR is a must;
experience in deep-tech, research-driven, or publicly funded environments is a strong advantage.
* Hands-on and structured operator, comfortable designing, improving, and running processes end-to-end in a pragmatic and reliable way.
* At ease in an early-stage startup context: you handle evolving priorities, limited resources, and high autonomy with energy and judgment.
* Strong organizational and execution skills, able to manage multiple topics in parallel while keeping deadlines, details, and compliance under control.
* Collaborative, service-oriented, and proactive, with a solutions-focused mindset and the confidence to take ownership, suggest improvements, and move things forward.
* Excellent written and verbal communication skills in English (C1+) and French (B1+), with the ability to produce clear documentation and reports.
