Overview
The Workplace Services (WPS) Team is dedicated to providing an excellent and memorable office experience for everyone who enters through our doors - employees, guests and partners. This goes for our leased offices as well as our Serviced Offices (Co-Working Space), where we achieve this goal through close partnership with the Serviced Office Provider.
In his/her function, the M&E Coordinator is the main local point of contact for employees and Office Services provider team, with a strong focus on the hospitality and events operation.
This role requires great communication and service orientation, experience in hospitality or events, attention to detail, good administrative and IT skills, good coordination and organizational skills, as well as an independent, flexible work style with good time management.
Your tasks
* Act as the Workplace Services representative for the Zurich office community, support, guide and enable the team for a productive workday in the office
* Manage any employee request submitted through customer internal ticketing tool, Slack, email or face to face, guide, answer or advise as required
* Build a strong partnership with our Serviced Office Providers to ensure smooth operations, adherence to Salesforce standards and service quality within budget
* Hospitality and Events
o Conduct Event Space bookings, support and guide the event requestor in the event planning
o Source, engage and coordinate Catering and other event vendors such as AV companies, furniture and equipment rental or service or entertainment provider
o Oversee the service delivery of different vendors and act as single point of contact for the event host
o Keeping our employees and customers - save and secure - ensure compliance to all Swiss and customer access control, security and health & safety regulation
o Build and maintain a list of catering suppliers and other vendors, to allow variety and flexibility for any catering and event request
o Ensure any dietary requirements, food allergies, personal preferences of VIP’s and our sustainability values are being taken into consideration
o Guest Services & Hospitality: Work with the Serviced Office Provider's Reception staff to ensure an excellent welcome for our employees, guests, and visitors according to agreed Service Levels
* Workplace Services
o Supervise the mail handling in collaboration with the Service Provider (handling, redirection, etc.) for our Zurich’s Office
o Mail handling for all Swiss Legal entity including stakeholder documents and personal post for other location except Zurich
o Collaboration with WPS Lead, implement and maintain Salesforce procedures and standards
o Conduct spend tracking and invoice handling for the Workplace Services Operations in Switzerland
o Act as Space Champion ensuring data accuracy of our space and facility data
o Welcome and provide orientation to New Hires
o Share on and off-boarding information with the Serviced Office Provider
* General
o Build and maintain strong relationships to local office communities and stakeholders like Hub leads, Executive Assistants and other internal function’s locally and across EMEA
o In cooperation with the Swiss WPS Lead, document and participate in monthly KPI meetings with Serviced Office Provider to provide ongoing feedback on service delivery, follow up on pending facility maintenance topics and receive latest updates on any changes planned by the center
o In partnership with the Corporate Security team, ensure all Salesforce employees, Serviced Office Provider staff and visitors comply with Salesforce's Security standards on visitor sign-in, access control, data protection, etc.
Your profile
* Minimum 3 years of experience in office management and/or in the field of hospitality
* Experience in the coordination of service delivery, preferable including vendor management
* Excellent communication and team player skills - fluent in German and English in spoken and written form
* Polite and confident with a great deal of patience, passionate about service, helping and working with people
* Can-Do attitude, always willing to go the extra mile
* Affinity for using innovative software like Google, Quip and Salesforce applications
* Ability to work in a fast-paced, dynamic environment and meet deadlines
* Excellent multi-tasking, project management and (self-) organizational skills
