Administrative Assistant – International Organization (Native English Speaker)
Location: Geneva, Switzerland

Role Overview
Reporting to a senior manager, the successful candidate will provide administrative and organizational support to the executive office, membership & partnership department, and global advocacy team.
Key Responsibilities:
Global Advocacy Support
* Proofreading and formatting letters, position papers, resolutions, presentations, reports, and surveys.
* Coordinating translations and publishing official documents.
* Assisting in the preparation of high-level UN-related meetings.
* Supporting administrative tasks related to ECOSOC consultative status and UNFCCC.
* Handling travel arrangements, hotel and flight bookings, and background research.
* Consolidating the annual working programme.
Executive and Membership Support
* Providing administrative assistance to the Senior Manager.
* Acting as back-up for the Executive Assistant to the Secretary General.
* Filing expense reports, contracts, and visa support letters.
* Responding to general phone and email inquiries.
* Supporting the use of internal IT platforms.
* Coordinating monthly activity reports.
Statutory Meetings Support
* Preparing agendas, presentations, and supporting documents for board and council meetings.
* Tracking registrations and coordinating logistics with the events, IT, and legal teams.
* Providing on-site support during meetings, including coordination with interpreters and AV teams.
* Drafting post-meeting reports and decision summaries.
Candidate Profile
* Minimum of 8 years’ experience as an administrative assistant.
* Native English speaker (mandatory).
* Proficiency in Microsoft Office and other IT platforms.
* Experience in international organizations is an asset.
* Knowledge of additional languages is a plus.
