What You Would Get To Do

The Event Manager will consistently deliver exceptional service to our client through excellent operational and logistical facilities management. This position will be responsible for managing, supporting and/or executing the coordination of various events within the client’s meeting spaces. The role requires strong operational understanding and practical experience in event logistics and venue management. You will represent the FIRST Solutions brand on-site within a well-known tech company and work with internal teams to coordinate the logistical needs of the event space.


Responsibilities

* Provides consultative planning support for Event Hosts to ensure exemplary event experience
* Discover the Event Host objectives and requirements for live and digital events
* Review the budget and offer suggestions to maximise ROI
* Collaborate with event hosts on the budget, ensuring all recommendations stay within the agreed-upon budget
* Organise logistics, decor, entertainment, catering and all other event needs
* Work with the Production Coordinator to assist with securing client assets for AV, production and branding purposes
* Recommend event enhancements to achieve desired event objectives
* Review meeting spaces to ensure proper space assignment
* Inform Space & Service Coordinator of space need changes and cancellations to digital and on-site events
* Monitor each event space and setup information to ensure all event details are current and deadlines are met
* Provide onsite support during event execution, coordinating needs with the Event Service Specialist
* Serve as the main point of contact for the client during all planning phases
* Create, manage and distribute event details, project timelines and key deadlines to stakeholders using approved templates
* Plan events from conception to budget reconciliation and ROI tracking in alignment with client goals
* Collaborate with departments to develop event requirements and deliverables, including calendars, registrations, feedback surveys, and wrap-up reporting
* Coordinate load-in, setup and strike with facilities and vendors for AV, décor, catering, security, and transportation
* Push the boundaries of creativity and innovation for events
* Manage multiple programs/events across industry verticals with creativity, innovation and strategy


Qualifications

* 3–5 years of experience in a similar role
* Strong meeting coordination experience for meetings/conferences ranging from 50 to 300+ people
* Experience working cross-functionally with all levels of stakeholders in a fast-paced environment
* Ability to understand event objectives and align with client strategy
* Excellent organizational and time-management skills; ability to handle multiple tasks to meeting deadlines
* Creative problem solver, resourceful, team player; adaptable to changing demands
* Fluent in English; German is preferred
* Health and safety-conscious with attention to a clean, professional work environment
* Willingness to work across locations as required
