What it's about
We are currently seeking a Senior Assistant to join our global Headquarters in Zug, Switzerland for a 6-month temporary assignment with potential for extension or conversion to a permanent role.
Key Responsibilities
* Prepare presentation materials for events, committees, and key meetings
* Plan and support international networking and strategy events
* Take minutes and prepare materials for key committees, ensuring timely follow-ups and action points
* Organize, prepare, and follow up with external clients and partners
* Manage travel logistics, including visa preparation, flights, and accommodation
* Liaise with relevant internal stakeholders and external organizations
* Provide administrative support for multiple team members
* Coordinate diaries and agendas across the firm
* Process monthly expense reports for senior team members
* Support ad-hoc projects as needed
* Handle general administrative duties (telephone service, mailings, and courier services)
What we expect
* Minimum 5 years of administrative support experience in a professional environment within a medium to large corporate entity, including executive support
* Confidence in communicating effectively across teams and organizational levels
* Excellent interpersonal skills with ability to manage business and client expectations
* Proactive, hands-on approach with ability to work creatively and independently in a challenging, fast-paced environment
* Strong focus on delivery with exceptional attention to detail
* Ability to quickly assess problems and provide effective, pragmatic, and innovative solutions with confidence
* Excellent business English with strong verbal and written communication skills
* Proficient business German preferred but not required
* Ability to work to tight deadlines in a challenging environment while remaining calm under pressure
* Advanced proficiency in Microsoft Office suite
* Must have Swiss work authorization/permit
* Candidates with immediate or short-notice availability will be prioritized
