Responsibilities
* Acting as the primary contact point for the leadership team, clients, and external partners
* Complex calendar management and prioritization of appointments for the Founder, CEO, and CFO
* Coordinating, leading, and mentoring administrative support professionals across different locations
* Drafting, editing, and proofreading internal and external communications on behalf of the leadership team
* Scheduling and organizing meetings, handling logistics, and providing on-site or remote support
* Overseeing office management, including facilities, supplies, and vendor coordination in Zug and remote offices
* Managing and processing incoming invoices, ensuring proper approvals and timely payments
* Maintaining digital and physical filing systems for administrative and financial documentation
Qualifications
* Minimum of 5 years' experience supporting C-level executives or office management in a dynamic, international environment
* Fluent in both English and German (written and spoken)
* Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
* Excellent organizational and time management skills with the ability to manage multiple priorities
* Strong communication skills and a professional, proactive demeanour
* Familiarity with invoice processing or basic accounting tools
* Experience managing office operations or facilities across multiple locations
* Previous exposure to the financial services or fintech industry
* Resourceful, adaptable, and calm under pressure
* Self-starter with a high degree of ownership
* High level of discretion and confidentiality with sensitive information
* Tech-savvy and confident using digital tools to streamline workflows
