Role Purpose Statement
We are seeking a highly experienced Executive Assistant to provide comprehensive administrative and organizational support to multiple senior executives in our Geneva office. This pivotal role ensures executive operational efficiency, manages complex communications, and handles sensitive information with utmost discretion. Additional responsibilities include backing the Senior Executive Assistant and Office Manager, supporting high‑profile events, and contributing positively to office operations.
Key Responsibilities
* Executive & Remote VP Support: Proactively manage complex calendars, appointments, and international travel arrangements (including visa logistics and expenses). Coordinate and prioritize meetings, conferences, and events, resolving scheduling conflicts with agility.
* Communication & Stakeholder Engagement: Serve as the primary point of contact for internal and external stakeholders; screen, prioritize, and manage executive communications (calls, emails, correspondence); draft and edit professional documents, presentations, and reports.
* Meeting & Project Management: Prepare agendas, briefing materials, and presentations; coordinate logistics for high‑level gatherings; take minutes, track action items, and provide dedicated project support, research, and data compilation.
* Administrative & Office Contribution: Oversee general administrative duties, document management, and office tasks including invoice processing; act as reliable backup for the Office Manager to ensure continuity of office operations.
Qualifications & Experience
Required:
* Minimum 5 years of experience supporting senior leadership within a multinational corporate environment.
* Fluency in English and proficient French (written and spoken).
* Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and multi‑calendar management platforms.
* Strong organizational ability, meticulous attention to detail, and proficiency in managing complex schedules.
* High integrity and discretion with confidential information.
* Proactive, adaptable, problem‑solving mindset capable of managing last‑minute changes under pressure.
* Excellent verbal and written communication skills across all organizational levels.
Desired:
* Additional languages: Spanish or Portuguese.
* Open‑minded, collaborative team player who enjoys a dynamic, less formal office culture and contributes positively to team life.
