Your role

Your role will include:
* provide high quality administrative support to the executive team of Asset Management Technology including coordinating daily scheduling and arranging meetings with senior-level managers
* monitoring team email inboxes which may include responding to emails as appropriate, tracking all follow-up of emails and responses and ensuring all important emails and administrative matters are addressed
* maintain travel itineraries, prepare expense reports, and manage reimbursement process
* provide in office support for
Zurich and Opfikon
based team including professionally answering phone calls, field messages and direct general inquiries to the appropriate managers on the team
* organize logistics for training sessions, off-site meetings, and workshops, coordinating locations, attendees, materials and communication, organize lunch or dinner
* manage administrative tasks like maintaining email distribution lists, memberships in MS Teams, etc.
Your team
You'll be working in the Chief of Staff team and will be based in Opfikon. We provide a huge variety of services to ensure that our Stream leaders performs effectively whilst keeping alignment with our strategic priorities. You'll be working closely with Stream and Crew Technical Leads and their management team on all hiring activities. Our goal in Asset Management Technology is to drive sustainable investments and empower our teams.
Your expertise
You enjoy contributing collaboratively as part of a team as well as being recognized for your contribution and you have a pragmatic approach to challenges. Our team will cross train on the technical aspects of the role.
* you must be able to communicate effectively in both German and English with strong communication skills to manage internal and external clients and individuals at all levels
* professional and flexible with a positive attitude and the ability to adapt support level to needs and style of the individual managers on the team, willingly to assist others, or assist as requested, based upon workload
* excellent organizational skills with ability to prioritize responsibilities, identify problems and seek solutions, proactive and able to work independently to ensure all tasks are completed in a timely and orderly manner
* high level of accuracy and strong attention to detail, trustworthy and able to handle confidential information with discretion
* good knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook), videoconferencing/virtual collaboration platforms (e.g., Skype, Microsoft Teams)
