Key Responsibilities
Executive Support & Organization
* Manage a complex and constantly evolving calendar, including scheduling of meetings in multiple geographies (Europe, Middle East, Asia Pacific).
* Act as gatekeeper for the Executive, ensuring effective prioritization, timely decision‑making, and smooth communication across departments and with external partners.
* Coordinate and prepare Board meetings, including drafting agendas, producing Board packs, circulating materials, taking minutes, and liaising with external advisors when needed.
* Plan and execute corporate events, internal meetings, client functions, and executive seminars, ensuring impeccable logistics and delivery.
* Organize international travel itineraries, including visas, accommodations, briefings, and detailed travel packs.
* Handle personal matters with the utmost discretion when required.
Content, Documentation & Executive Communications
* Prepare, edit, and refine presentations and briefing documents for internal and external meetings.
* Collect, consolidate, and validate contributions from global functions and regional teams.
* Draft speeches, talking points, and correspondence for the Executive’s interventions at corporate and public events.
* Ensure all materials are accurate, well‑structured, and aligned with corporate messaging.
Strategic & Project Support
* Support special projects involving business analysis, organizational topics, financial insights, and cross‑functional coordination.
* Act as an interface with internal teams or external consultants, ensuring deadlines are met and information flows are efficient.
* Contribute to the implementation of operational improvements and executive initiatives.
Candidate Profile
Professional Requirements
* Significant experience as an Executive Assistant supporting a CEO or equivalent C‑suite executive in large, complex multinational organizations.
* Proven ability to manage highly confidential information with discretion and integrity.
* Strong background in coordinating senior‑level meetings, Board activities, and high‑impact corporate events.
* Excellent command of English (Italian is a strong plus); exceptional verbal and written communication skills.
* Advanced proficiency in preparing presentations, reports, and executive documents.
