JOB SUMMARY
The Convention and Novel Construction Coordinator is a key member of the IPLOCA Secretariat team, responsible for supporting the planning, coordination, and execution of IPLOCA annual convention and Novel Construction sessions. This role combines event management, digital marketing, and technical coordination to deliver exceptional experiences for delegates and stakeholders.

1- CONVENTION COORDINATION
Under the supervision of the Convention Manager
Registration & Communications
Process registrations and maintain comprehensive delegate database
Manage daily delegate inquiries including visa support letters and payment receipts
Administer sponsorship follow-up including logo collection, invoice monitoring, and payment tracking
Create and publish convention-related website content and social media posts
Event Operations & On-site Management
Coordinate logistics with suppliers and destination management companies (shipping, printing, transfers, tours)
Collaborate with graphic designers to develop event signage and materials
Manage badge production and oversee delegate welcome pack preparation
Train and supervise temporary staff during convention periods
Coordinate with photographers and manage photo documentation processes
Provide on-site support during conventions and troubleshoot operational issues
Technical & Digital Management
Administer online registration platforms (Cvent and similar systems) including setup, testing, and ongoing maintenance
Configure and maintain convention mobile applications
Update and maintain operational documentation and procedures
Produce post-convention photo slideshows and promotional videos
