Executive & Project Assistant (Growth Track) — Sustainability Focus
We’re looking for an early-career Executive & Project Assistant to support the founder and a small, mission-driven team working on a range of projects, with a focus on environmental and sustainability priorities. This is a high-trust, fast-paced role combining executive support, research, and project coordination. You’ll work closely with the founder, learn quickly, and take on meaningful responsibilities early on.
The pace can shift quickly and some weeks will require schedule flexibility (early/late calls or short bursts of longer hours driven by time zones and deadlines). We aim to plan ahead where possible and balance intense periods with recovery time.
Hours: Full-time with flexible schedule across multiple time zones (occasional early/late hours)
What you’ll do
Executive & administrative support
* Manage and continuously optimise a complex calendar across multiple time zones; flag conflicts early and propose solutions.
* Act as a gatekeeper for incoming requests: triage emails/calls/messages, draft responses for review, and maintain a prioritised to-do list.
* Prepare daily/weekly briefings for the founder (agenda, key emails, decisions needed, deadlines).
* Draft correspondence, meeting notes, and follow-ups; track action items to completion.
* Organise and maintain digital records, files, and shared drives with strong version control.
Research & sustainability project support
* Conduct rapid research on environmental/sustainability, policy, and institutional topics; deliver concise summaries and briefs.
* Support preparation of presentations, reports, and meeting packs.
* Coordinate logistics for events, meetings, and conferences (registrations, agendas, materials, follow-ups).
* Liaise with partners, stakeholders, and team members as needed.
Logistics & personal support (aligned with professional schedule)
* Arrange travel and itineraries for professional engagements (flights, hotels, ground transport, agendas).
* Handle time-sensitive bookings or requests discreetly and efficiently.
* Support light personal admin tasks when needed (e.g., appointments, reservations).
* Source and coordinate external service providers as needed (e.g., design, logistics, research support).
What we’re looking for
* 0–3 years of experience in admin, operations, research, or fast-paced support roles (internships count).
* Exceptional organisational skills and attention to detail; you love building simple systems.
* Strong written and verbal communication in English; French is a plus.
* High discretion and sound judgment with sensitive information.
* Ability to work flexibly across time zones, including occasional awkward hours and travel.
* Demonstrated interest in environmental / sustainability issues (academic, professional, or personal).
* Confident with Google Workspace and MS Office.
* Driver’s licence for visiting sites.
* Based within reasonable commute to Nyon for periodic in-person support.
You’ll work directly with the founder, gaining exposure to many different projects and engagements, including high-impact environmental work. You’ll support multiple workstreams at once, building a broad, highly transferable skill set across executive support, research, stakeholder coordination, and operations. The role offers a steep learning curve, meaningful responsibility, and strong opportunities to grow quickly.
