The Geneva Graduate Institute, founded in 1927, is a world-renowned centre of excellence for the study of international relations and development. Located in Geneva, Switzerland, the Institute offers a stimulating, multicultural and interdisciplinary academic environment. It offers masters and doctoral programs, and conducts cutting-edge research on major global challenges.
Introduction of the Fab :
The Fab is the Graduate Institute’s innovation and collaboration lab. The student assistant supports its daily operations by creating communication materials, organizing events, and managing administrative tasks. The role also includes reception hours and maintaining the space. Additionally, the assistant may support the Institute’s Centres with admin, events, and research-related activities as needed.
The role :
The Fab’s coordinator will ensure that operations and events/workshops at the Fab run smoothly and that the Fab’s stakeholders receive the support and attention needed. The position will also provide support to the Institute’s Centres on areas such as admin, events and comms, and research projects/ mandates, based on needs. Key responsibilities :
Administrative support : Handle daily administrative tasks such as HR requests, invoices, reimbursements, meeting scheduling, email and file organization, and coordination with internal departments. Reception and logistics : Manage reception duties at The Fab, including welcoming visitors, handling deliveries, managing bookings, and maintaining the space. Event coordination : Plan and execute in-person and online events, including logistics, communication, catering, room setup, and coordination with high-level guests and service providers. Communication : Update The Fab’s website and social media, prepare newsletters and promotional materials, and liaise with the Institute’s communications team. Innovation and funding : Contribute to the development of new initiatives, identify funding opportunities, and support proposal writing. Community engagement : Collaborate with student bodies and external partners, represent The Fab in internal and external meetings, and support community-building efforts. Support to the Institute : Provide assistance to the Institute’s Centres in areas such as administration, events, communications, and research projects, as needed. To be successful in this role, you should have :
Bachelors level in International Relations, Business Administration, Hospitality Management, Event and Communications management or similar
Prior experience in organisation of complex events: in person, online, and hybrid, including catering, etc
Prior experience preparing and running communications campaigns, including through social media
Prior experience engaging high-level public officials and diplomatic community
Experience working with events software (zoom, Cisco WebEx, mailchimp, etc)
Excellent interpersonal skills
Excellent command of both spoken and written English and French
Experience working within the Graduate Institute, knowledge of processes, systems, teams, and students is a plus
