Sales & Supply Chain Coordinator
to manage the full order-to-delivery cycle of our textile products. The role bridges communication between clients, suppliers, and logistics partners to ensure smooth, timely, and high-quality deliveries.
The position requires strong organizational skills, commercial awareness, and the ability to coordinate multiple stakeholders across different countries.
Key Responsibilities
1. Order & Sales Administration
* Receive and confirm customer orders.
* Prepare and issue proforma invoices and quotations.
* Maintain and update client files, order references, and price lists.
* Follow up with clients for down payments and outstanding balances.
* Handle inquiries regarding prices, product specifications, and timelines.
2. Supplier Management
* Place and confirm orders with suppliers (India, Nepal, others).
* Ensure accurate transmission of order details (references, colors, sizes, options).
* Monitor supplier confirmations and production timelines (standard and express).
* Coordinate with suppliers for special/custom orders and manage sample requests.
3. Logistics & Transport Coordination
* Arrange and negotiate air freight and transport offers (UPS, DHL, freight forwarders).
* Optimize shipment consolidation and costs.
* Monitor lead times, transit schedules, and ensure timely collection of goods.
* Manage customs clearance, insurance declarations, and import procedures.
* Ensure proper packaging, labeling, and quality control before shipment.
4. Delivery & Customer Service
* Coordinate with local partners for last-mile delivery and installation.
* Manage stain treatment and additional services when required.
* Ensure delivery instructions are clearly communicated and respected.
* Track deliveries, request PODs (Proof of Delivery), and resolve delivery issues.
* Organize and send product samples to clients.
5. Finance & Documentation
* Prepare and issue commercial invoices.
* Track payments and maintain an updated list of open invoices.
* Verify supplier invoices and transport invoices for accuracy.
* Ensure compliance with internal documentation processes (Excel lists, Word/ PDF files, archiving).
Qualifications & Skills
* Education
: Degree in Business Administration, International Trade, Supply Chain Management, or equivalent experience.
* Experience
: 2–4 years in sales administration, logistics coordination, or supply chain in an international environment (textiles/trading is a plus).
* Languages
: Fluent in
French and English
(spoken and written); German is a plus.
* Technical skills
:
* Strong command of MS Office (Excel, Word, Outlook, PDF formatting).
* Experience with logistics platforms (UPS/DHL online tools, freight forwarders).
* ERP/CRM knowledge is an advantage.
* Soft skills
:
* Highly organized, detail-oriented, and process-driven.
* Strong communication and negotiation skills with suppliers, clients, and transporters.
* Ability to work under deadlines and manage multiple priorities.
* Team player with a problem-solving attitude.
