Our client, an international company, is looking for a

Support Officer Global Relations for a temporary assignment.

Research and Development

• Conceive, coordinate and and compile stakeholder inputs for concept, background and briefing papers, talking points and presentations on a variety of subjects for different audiences, ensuring a consistent level of high quality.

• Oversee the timely compilation of all needed materials to inform decision making and process input.

• Edit and proof-read papers and information received from other Divisions; conduct an initial review of the content, summarize key points, and recommend an appropriate response to the USG as well as identify impacts on all divisions and departments under the USG’s area of responsibility.

• Research, collect, analyse, and interpret data to improve quality and relevance.

• Design and maintain regular reporting modules and dashboards, ensuring timely dissemination.

Communication Support

• Produce an array of official correspondence, such as documents, reports, memos, and decision papers that cover a range of matters, including complex and highly confidential issues. Ensure such correspondence contains inputs from key contributors, is tracked and properly monitored, highlighting any concerns to the USG.

• Refine inputs to strategic and technical documents, projects, and presentations, ensuring inclusive inputs and circulate finalized products.

• Monitor and manage incoming and outgoing correspondence, including USG emails, with discretion and sensitivity, highlighting any communication that requires immediate action by the USG, providing necessary background information and suggested intervention(s) to enable a prompt and accurate response.

• Lead in the conceptionalisation, writing and finalization of internal communication publications.

• Dispatch publications, documents and other materials when required.

Administrative Matters

• Manage the USG’s calendar to enable the delivery of the USG’s official programme and objectives as well as the incoming and outgoing workflow of the Office.

• Review information and documentation received and identify priority matters that require urgent attention and action by the USG or Directors. Ensure timely response and follow-up.

• Ensure overall coordination of work processes, steering the day-to-day support of smooth administrative, financial, logistical, and operational functioning of the USG Front Office and the entire Division.

• Serve as notetaker and secretary to meetings, ensuring the timely finalization, circulation and archiving of agendas and minutes.

• Plan and organise missions, handle all related logistics and provide the USG with pertinent background information in advance.

• Maintain a clear and logical electronic and hard copy file management system for general and confidential materials in accordance with COMPANY policies.

• Maintain an overview of the USG’s budget lines, including tracking all expenses and liaising with finance to ensure that finances are properly managed.

Project Management & Reporting

• In collaboration with the Senior Advisor, coordinate the development of division-wide plans and reporting to the COMPANY Governing Board and other statutory bodies as required; design, propose and maintain oversight of key objectives and deliverables for the year; identifying linkages within the division and COMPANY activities, recommending adjustments to the USG as needed; track and report progress on a monthly basis, highlighting any areas of concern or requiring intervention to the USG in advance.

• Develop project and work plans, track progress, highlight milestones and potential risks. Propose alternative solutions and ensure compliance with existing COMPANY protocol.

• Oversee the day-to-day delivery of project implementation in an independent manner while providing inputs to cross-divisional projects.

• Evaluate project proposals, undertake discrete projects linked to specific areas of work, support implementation plans and corresponding actions. Communicate progress on a regular basis.

• Conduct analyses on current processes and consolidate and present findings and recommendations in a clear manner.

• Manage independently USG-organized events and visits by senior officials and track positive impact of representational appearances.

Front Office Management

• Receive visitors and advise on any specific protocol matters.

• Assist the USG in establishing and maintaining relationships with internal and external stakeholders, including service providers, Movement Members, and other organizations to facilitate an exchange of information, sharing of resources and strategic guidance.
