We are looking for a committed personality in our office in Châtel-St-Denis with immediate effect or by appointment, as an Office Manager – F/M 80-100% Role We are seeking a versatile and motivated Office Manager to support our growing team in day-to-day business operations. This position is perfect for a native French speaker who has a solid conversational foundation in English and German and a strong desire to actively use and improve these language skills in a professional international environment. Key Responsibilities Your challenges and areas of responsibility will include, but not limited to: - Administrative Management: Handling physical and electronic mail, filing, archiving, and maintaining databases. - Vendor & Supplier Management: Management of external vendors and service providers together with the Product Owners. - Office & Facilities Management: Facility Coordination, Workplace Logistics and Service Oversight - Financial Support (AP/AR): - Accounts Payable (AP): Processing supplier invoices, ensuring correct coding, and preparing payment runs. - Accounts Receivable (AR): Assisting with client/partner invoicing, monitoring payments, and handling professional reminders for overdue accounts. - Accounting Liaison: Acting as a bridge between the team and the finance department for daily and month-end documentation. - Executive & HR Support (Assisting the Chief Business Office - CBO): HR Administration and Sensitive Documentation management - Communication & Reception: Handling phone calls and welcoming visitors (primarily in French, with occasional use of English and German). - Document Management: Assisting with drafting, formatting, and simple translation of internal documents and correspondence. - Coordination: Supporting meeting organization, managing calendars, and monitoring office supplies. - Linguistic Interface: Gradually taking on more tasks involving English for simple exchanges with international partners or clients. Qualifications and Experience - Education: Holder of a CFC (Federal VET Diploma) in Commerce (or an equivalent qualification). - Asset: Federal Maturity (Professional or Academic) is considered a significant advantage. - Native Language: French. Excellent writing skills and impeccable spelling. - Language Skills: Conversational English and German (Level B1/B2 preferred). You are comfortable understanding the essentials and handling basic inquiries. - Growth Mindset: You are genuinely eager to practice and deepen your English and German skills on a daily basis. - IT Skills: Proficient in MS Office (Word, Excel, Outlook). - Soft Skills: Organized, discreet, with excellent interpersonal skills and a high degree of autonomy.
