Icebreaker and Smartwool are looking for a highly motivated and proactive Global Executive Administrative Assistant (Smartwool & icebreaker) to join our team based in Stabio, Switzerland.
Let’s Talk about the Role
As Global Executive Administrative Assistant, you will support the Smartwool and Icebreaker Global President, along with ad-hoc support to the wider Leadership team.
You will play a key role in supporting our team and ensuring smooth operations. You will also be the global cultural ambassador, ensuring teams feel connected to the brands' values. Our ideal candidate works well under pressure, can build networks globally, and has excellent communication skills. If you're passionate about providing exceptional administrative support, working on brand projects, and growing a global organization, we want to hear from you! Your role will involve administrative, organizational, and operational tasks related to Go-To-Market strategies.
How You Will Make a Difference
* Perform administrative tasks supporting the Global President, including managing calendars, preparing presentations, travel arrangements, and expense reports.
* Support planning and management of brand events, sales, conferences, and social events.
* Assist in organizing travels for leadership, including accommodations, flights, and transfers.
* Coordinate guest visits and travel arrangements.
* Maintain the President’s calendar, schedule meetings, and handle logistics.
* Attend meetings, take notes, prepare minutes, and organize meeting logistics.
* Prioritize matters for the President, handle urgent issues, and ensure follow-up.
* Assist in drafting and reviewing communications and memos on behalf of the President.
Skills for Success
* Approachable, respectful, comfortable with technology and virtual platforms, proactive in administrative decisions.
* Flexible, dynamic, able to multitask in a fast-paced environment.
* At least 3 years of experience as an assistant or coordinator.
* Well-organized with strong time management skills and the ability to work independently.
* Excellent communication, relationship-building, and trust-maintenance skills.
* Outstanding organizational skills, creativity, and independence.
* Proficient in PowerPoint, MS Office, and English language.
* Discretion and confidentiality are essential.
