The Bank for International Settlements, BIS is hiring an Administrative Officer within the Secretariat of the Financial Stability Board.

This role is based in Basel, however, thanks to our status as an international organization, we can hire globally and welcome applications from candidates of all nationalities and located anywhere in the world. Relocation support is available for the successful candidate and their dependent family members.

This job is available as three years fixed-term.

Purpose of the job:

To support secretariat members by carrying out all secretarial and administrative tasks provide administrative and secretarial support to the Financial Stability Board (FSB). The Administrative Officer acts as a link between internal and external contacts and other members of the FSB Secretariat.

By joining the Secretariat of the Financial Stability Board team, you will:

* Collaborate globally with international colleagues and be part of a diverse, dynamic team.
* Take on a wide variety of tasks, including supporting senior leaders and organising high-level events central to the FSB’s mission.
* Play a key role in supporting an organisation at the forefront of international financial stability.

Principal accountabilities:

* Meetings: Coordinate the organization of internal and external FSB meetings and events (including, for some meetings, on-site at the external location).
* Maintenance of Secretariat records: Maintains FSB Secretariat records, including FSB membership and contact lists. Ensures the archiving of relevant FSB documents in the BIS archives.
* Preparation of document: Formats and proof-reads reports and FSB documents based on guidelines. Ensures appropriate distribution.
* E-mail queries: Responds to general e-mail queries and forwards as necessary to other members of the Secretariat.
* Official entertainment: Organises official lunches, dinners and cocktails to be hosted by the Secretary General or Secretariat members. Selects the restaurant and menu, prepares the table plan etc. Checks the incoming restaurant bills, fills out the purchase vouchers and passes them on to Finance.
* Diary/schedules: Arranges appointments for members of the Secretariat. Maintains a chronological file in which relevant documents for forthcoming appointments are kept.
* Visitors: Supports members of Secretariat in organising appointments with external visitors at the BIS. Assists the visitors as necessary.
* Telephone, mail and filing: Ensures appropriate action with incoming phone calls and electronic and physical mail. Maintains efficient office filing of electronic documents.
* Office technology: Demonstrate proficiency with Office 365, including Microsoft Teams, SharePoint, Planner and Projects. Stay updated on technological developments.
* Other administrative task: Helps maintain the FSB public website and the internal website (e‑FSB), uploading documents and other information during absence of admin colleagues. More generally, acts as back-up for colleagues in the administrative office during absences as and when required.

Qualifications, skills, and experience:

* Relevant education or equivalent experience. Higher-level qualifications, such as those in office management and business administration, would be an advantage.
* Office management or business administration experience, meeting organisation skills.
* High level of proficiency in Microsoft Office applications (notably word processing, but also spreadsheet, e-mail, presentation and database software) and internet tools.
* Excellent teammate. Acts with diplomacy in liaising with FSB membership.
* Absolute discretion in treating confidential and restricted information.
* Accuracy, speed and attention to detail.
* Produces high-quality work, even when under stress, while remaining calm, efficient and flexible.
* Shows initiative, for example, in improving office processes.
* Willing to work irregular hours if required.
* Excellent communication skills in English and preferably German, or another major world language.
* Experience of working in an international environment would be a plus.
