What you’ll be doing
We are looking for an Administrative Assistant Manager to support our operations in Mexico City. This role will be a key partner for the local team and the LATAM headquarters, ensuring smooth execution of processes across HR, Finance, Contracts, and Office Management. The ideal candidate is hands-on, highly organized, and able to handle different areas with autonomy and proactivity.
Responsibilities
* Human Resources (HR)
o Support hiring process, onboarding, and preparation of offer letters.
o Manage contracts, benefits administration, and payroll operational activities.
o Coordinate endomarketing initiatives and employee engagement programs (e.g., GPTW).
o Handle IT equipment allocation and serve as point of contact with vendors and LATAM HR team.
* Finance
o Manage accounts payable and receivable processes.
o Ensure accuracy in invoicing and related financial operations.
* Contracts & Legal Documentation
o Prepare and oversee employment contracts, NDAs, SOWs, and agreements with customers and vendors.
* Office Management
o Oversee office equipment, supplies, and general facilities.
o Ensure smooth day-to-day operations of the office environment.
What you’ll bring to the table
* Native Spanish speaker with fluent English (Portuguese is desirable but not mandatory).
* Based in Mexico City with availability to work 2–3 times per week on-site.
* Previous experience in administrative, HR, or operations roles, preferably in multinational environments.
* Strong organizational skills, attention to detail, and ability to manage multiple priorities.
* Hands-on profile, proactive, and adaptable.
