Responsibilities
* Travel & Expense Management
o Coordinate complex international travel itineraries, ensuring efficiency, accuracy, and compliance.
o Manage expense reporting processes with precision and attention to detail.
o Anticipate needs, identify potential issues, and ensure seamless execution of all travel‑related arrangements.
* Calendar & Meeting Coordination
o Support scheduling across multiple time zones.
o Prepare meeting agendas, materials, and logistics in advance.
o Liaise with internal stakeholders to ensure smooth daily planning.
* Internal Event Coordination
o Organize internal leadership meetings, workshops, and team gatherings.
o Manage logistics, communication, materials, and vendor interactions when required.
The Successful Applicant
* Outstanding organizational and prioritization skills, with the ability to manage competing requests from multiple leaders.
* Autonomy and proactivity, with a strong ability to anticipate needs and work independently.
* Proven expertise in Travel & Expense management, including familiarity with T&E systems and compliance processes.
* Strong communication skills in English, with a professional, diplomatic, and service‑oriented approach.
* Event coordination capabilities, from logistics to materials preparation.
* Discretion and reliability, especially when handling sensitive or confidential information.
* Adaptability and composure in a dynamic environment with changing priorities.
* Solid command of Microsoft Office 365 (Outlook, Teams, Excel, PowerPoint), with the ability to learn new tools quickly.
* A collaborative mindset, able to work smoothly with other assistants and internal teams.
