Strategic Program Coordinator 80 - 100% (f/m/d)
Start from: Immediately / Upon agreement
The Strategic Program Coordinator is the operational “muscle” of the Corporate Strategy program. Working in lockstep with the Head of Business Development and the CEO, you will ensure strategic alignment and provide the SteerCo and Board with the visibility and control required to steer the program to success through rigorous project coordination and management.
What you can expect
1. Strategic Support & SteerCo Collaboration
* SteerCo Alignment: Facilitate weekly update meetings and prepare high-quality pre-reads/decision papers.
* Board Reporting: Support the SteerCo by preparing Board-ready materials based on the content provided by the various Workstream Leads and third party advisors.
* Decision Logging: Maintain a formal log of all strategic decisions (and trade-offs made at the SteerCo and Board level).
2. Operational & Administrative Management
* Program Orchestration: Take full ownership of the program rhythm, including the end-to-end organization of SteerCo, Board Strategy updates, and Workstream check-ins.
* Executive Presentation Preparation: Draft and refine presentations for the SteerCo, ensuring complex strategic data is translated into clear, visual executive summaries.
* Integrated Scheduling: Consolidate all internal and 3rd party tasks into a single Master Schedule, including legal/tax sub-tasks by country.
* Standardization: Own the “Hapimag Standard” for documentation, ensuring a consistent, board-ready format across all workstreams.
* Information Flow: Act as the “Air Traffic Controller,” ensuring data flows seamlessly from working teams to the SteerCo.
* Cost-to-Complete (CTC) Model: Enforce the “Quote-to-Commit” rule where no task starts without a formal fixed-fee quote.
* Budget Control: Conduct monthly variance analysis comparing Actual Spend vs. Committed Spend vs. Budget Estimates; proactively steer the budget to identify risks of overruns in advance and efficiently mitigate them together with the Workstream Leads.
* Invoice Verification: Establish a process to cross-check 3rd party invoices against approved Statements of Work (SOW) before payment.
4. Quality Assurance & Risk Management
* Risk & Issue Management: Maintain a live Risk Register (e.g., legal non-compliance, shareholder blocking) with assigned owners and mitigation plans.
* Quality Gates: Implement mandatory “Quality Gates” for major hand-offs, such as e.g. the Demerger Blueprint or the Financial Model.
* Deliverable Acceptance: Define formal acceptance criteria for all 3rd party deliverables to ensure high‑quality outputs.
What you bring along
* Experience: 3+ years in project/program management (PMO)
* Languages: Proficiency in English and German.
* Education & Certification: Ideally possesses a recognized Project or Program Management certification (e.g., PMP, Prince2, or MSP) to ensure industry‑standard methodology is applied.
* Technical Excellence: Mastery of program management tools and advanced proficiency in PowerPoint/Graphic design to create professional board‑level decks; proficient in leveraging Artificial Intelligence to optimize project/program management workflows and automate high‑impact presentation design.
* Organizational Talent: Exceptional administrative and organizational skills, with the ability to manage complex calendars, meeting cadences and workstreams.
* Proactivity: A “no‑surprises” mindset—anticipating the needs of the CEO and Head of Business Development before they ask.
