Job Description:
This position is responsible for ensuring the effective operation and efficiency of office premises. The incumbent will oversee day-to-day facility management, maintain compliance with safety and sustainability standards, and optimize workplace arrangements in line with organizational objectives.
The successful candidate will be responsible for ensuring a safe, productive, and cost-effective working environment through strategic planning, preventive maintenance, and infrastructure enhancements.

Main Responsibilities:
* Ensure the safe and continuous operation of the office building, develop, implement, and periodically revise preventive maintenance schedules to minimize downtime, maximize asset lifespan, and assure compliance with regulations.
* Manage office space allocation and utilization, including recommending workspace policies updates, workstation modifications, coordinating seamless office relocations, and ensuring optimal space planning aligned with evolving priorities.
* Oversee storage space allocation and utilization, including archives and records management, ensuring efficient and safe use of storage space.
* Monitor and administer energy and utilities consumption, generate regular reports on usage, cost trends, and compliance with regulatory requirements.
* Maintain a centralized database of contracts and vendor information related to facility services, track key contract milestones, and recommend implementation of efficiency measures.
* Supervise and evaluate performance of third-party providers for cleaning, hygiene, food and beverages, and building management services, manage procurement and maintenance of furniture and fittings, review and monitor lease and contract agreements associated with the Headquarters infrastructure.
* Enhance fire safety preparedness by coordinating comprehensive fire prevention programs, scheduling and documenting regular evacuation drills, ensuring all staff complete required emergency response training.
* Strengthen premises security by overseeing installation, maintenance, and monitoring of surveillance systems, coordinate with security personnel to develop, implement, and periodically review emergency response plans.
* Maintain up-to-date documentation of facilities management processes, contracts, plans, and schematics, prepare periodic summaries and ad-hoc reports for senior management and relevant authorities.
Qualifications:
An ideal candidate should have a Master's degree in Facility Management, Engineering, Business Administration, or a related field from an accredited institution, combined with five years of relevant professional experience, or a University degree with seven years of experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Required skills include demonstrated expertise in managing building infrastructure and maintenance tasks, strong organizational, management, communication, and problem-solving skills.
A proficiency in MS Office, AutoCAD, or GIS platforms relevant to facility planning and reporting is desirable.
IOM's official languages are English, French, and Spanish. Fluency in English and French is required, and working knowledge of another UN language is an advantage.
