About Our Client

This position is based in the Travel Retail division and offers the opportunity to work closely with top leadership in a fast-paced, international setting.
Job Description
* Organize meetings, conference calls, and complex travel arrangements across global time zones, supporting both managers
* Coordinate, prepare, and execute internal and external high-level events, including senior leadership offsites and retailer Top-to-Top meetings
* Support communication and alignment across regional and global business units, consolidating updates and follow-ups for leadership
* Ensure compliance with legal, tax, and audit-related documentation processes, including review and archiving of contracts and sensitive documents
* Manage and track signatures and approvals for a high volume of time-sensitive documents involving internal and external stakeholders
* Act as representative of the executives, including providing e-signatures during absences and coordinating on their behalf
* Maintain clear and structured documentation archives accessible for Legal, Finance, and Commercial teams
* Assist in onboarding of new employees and collaborate with HR and IT for proper setup
* Reconcile expenses and manage departmental procurement workflows
* Contribute to company-wide diversity and engagement initiatives as part of internal workstreams
The Successful Applicant
*
Bachelor's degree or equivalent; a background in Business Administration or Humanities is a plus
*
10+ years of experience in senior executive support, operations, or business coordination roles in a global environment
*
Fluent in English, advanced knowledge of Spanish and German is considered a strong asset
*
Tech-savvy and confident using Microsoft Office (especially Excel and PowerPoint); experience with digital collaboration tools
*
Excellent organizational skills, ability to prioritize under pressure, and keen attention to detail
*
Discreet and professional in handling confidential information
*
Experienced in managing international travel, high-profile events, and calendar coordination
*
A strong communicator with a proactive, service-minded, and collaborative attitude
