Job Description


Executive Support

* Manage the executive's agenda: scheduling meetings, appointments, and travel arrangements.
* Coordinate internal and external meetings, including logistics, document distribution, and follow-up actions.
* Prepare, format, and proofread documents, presentations, and reports.
* Support email management: prioritization, drafting responses, and ensuring timely follow-through.
* Act as a liaison between the executive and internal/external stakeholders.


Office & Administrative Coordination

* Organize business trips (flight bookings, accommodation, itineraries).
* Handle expense reports, invoices, and budget tracking related to the executive's activities.
* Maintain confidential files, contracts, and administrative archives.
* Support office operations when needed (procurement, room bookings, logistics).


Project & Meeting Support

* Assist with project tracking, timelines, and documentation.
* Prepare meeting agendas, minutes, and action-item lists.
* Conduct light research and synthesize information when required.


Communication

* Draft internal communications and messages on behalf of the executive.
* Coordinate with teams to ensure smooth information flow and timely updates.


The Successful Applicant


Required

* Proven experience as an Executive Assistant, Personal Assistant, or Administrative Coordinator.
* Strong organizational skills and impeccable attention to detail.
* Ability to manage sensitive information with high confidentiality.
* Excellent communication skills in English (and other languages if needed) and French.
* Strong command of Microsoft 365 (Outlook, Teams, PowerPoint, Excel, Word).
* Ability to work independently with minimal supervision.
* Professionalism, discretion, and a proactive approach.


Nice to Have

* Experience in an international or fast‑paced corporate environment.
* Strong prioritization skills and comfort with shifting demands.
* Collaborative mindset and positive attitude.
